Event-day checklist

Prepare devices, staff, registration, voting, judging, and awards.

Who can use this: Event managers. Available actions can vary with the event's enabled features and your assigned role.

Open this page

  1. Sign in as an event manager.
  2. Select Events, then choose the event.
  3. Use the event dashboard to open each enabled event-day tool.

Use this checklist with a test event before the day of the show. Features only appear after a manager enables them in Edit event → Settings.

Before event day

  1. Confirm the event time zone, start and end times, address, contact details, and public description.
  2. Finalize groups/classes, the registration form, prices, parking spots, and any approval rules before opening registration.
  3. Run test registrations for each payment and parking path. Confirm emails, dashcards, and attendee numbers.
  4. Finalize voting and judging forms before accepting live scores. Changing a form after voting begins can invalidate or clear results.
  5. Create trophies and confirm each award's type and group eligibility.
  6. Invite staff with the minimum role each person needs. Have everyone sign in on the device they will use.
  7. Print backup registration forms, dashcards, ballots, judging sheets, and the staff list.

At the venue

  1. Check Wi-Fi and mobile coverage where registration, judges, and ticket scanners will work.
  2. Open attendee check-in and verify that staff can find a test entrant.
  3. Confirm printers, paper size, ink, chargers, and a power backup.
  4. Tell staff who may edit entrants, enter paper ballots, close voting, and assign awards.
  5. Record the planned close times for registration, voting, and judging.

Before announcing awards

Close voting, confirm judging is complete, review ties and duplicate trophy assignments, then print a final award list. Keep one manager signed in until corrections are no longer needed.
