A Small-Show Technology Rehearsal

The printer that worked in your office may hate the Wi-Fi at the venue. Somebody's password will be wrong. A volunteer's phone will ask for camera permission right when the gate line gets long.

Run through the real jobs before show morning, using the same equipment and the same accounts your crew will use. Half an hour of testing is cheap compared with figuring out a printer driver while fifty owners wait for dashcards.

Test the day, not the feature list

Use the venue if possible and the same phones, tablets, laptops, printers, scanners, and network staff will use. Create a test entrant and walk through registration, payment status, check-in, dashcard printing, voting, judging, score review, and award printing as applicable.

Shared passwords create shared trouble

Have each volunteer sign in with their own account. Confirm managers, administrators, judges, and ticket takers can reach only the pages they need. Do not plan to share one manager password across devices.

Cables, paper, batteries, and weak signals

  • Connect every charger and label it.
  • Print on the intended paper and verify scale and orientation.
  • Scan each type of QR code from a phone and printed copy.
  • Check cellular service where gates and judges will stand.
  • Confirm browser permissions for camera and location features.
  • Export the attendee or ticket backup staff may need.

The useful question is what happens next

Turn off Wi-Fi, disconnect the printer, or remove one device. Practice the paper log, alternate hotspot, spare printer, or delayed-entry process. Assign one technology lead and write down which failures stop an activity versus which simply slow it down.
